Does YardHQ.ai create a care calendar for my plants?

Yes. When you add perennials, shrubs, trees, or other long-lived plants to your inventory, YardHQ.ai automatically generates a full 12-month seasonal care calendar with specific tasks timed by season — including spring activation, summer feeding, fall cleanup, and winter prep.

This Privacy Policy explains how we collect, use, disclose, and protect your information when you use the YardHQ website, mobile application, and related services (collectively, the "Service").

By using the Service, you agree to the collection and use of information in accordance with this Privacy Policy.

1. Information We Collect

Account Information

When you create an account, we may collect:

Authentication provider information (such as Google login)

User Content

We may collect content you upload or create, including:

Photos, including yard, landscaping, and plant images
Photos submitted for Plant Diagnostics (species identification and health assessment)
Notes, comments, and text entries

AI Chat Conversations

When you use "Ask YardHQ.ai," we collect the messages you send and the AI's responses. To give personalized answers, each conversation automatically includes relevant context about your account, such as your property address and ZIP code, USDA hardiness zone, zone and plant inventory details, pending maintenance tasks, and recent care history. This context and your messages are sent to our AI service providers to generate a response — see "AI Features and How Your Data Is Used" below.

Yard Journal

The Yard Journal stores a history of your property, some of which you create directly and some of which the Service creates for you automatically, including:

Entries and photos you add manually
Diagnostic results (species, health status, and observations) saved automatically when you use Plant Diagnostics with an account
A summary of your "Ask YardHQ.ai" conversations, saved automatically to build a history of advice given for your property

3. AI Features and How Your Data Is Used

The Service uses artificial intelligence, including third-party large language model (LLM) providers, to power several features:

Plant Diagnostics: photos you submit are sent to our AI service providers to identify plant species and assess visible health conditions. Plant Diagnostics can be used without creating an account (as noted at Section 1); photos submitted this way are processed the same way but are not linked to a saved profile.
Ask YardHQ.ai (chat): your messages, along with property, zone, plant, task, and care-history context, are sent to our AI service providers to generate a conversational response.
Care plans, task generation, and weather advisories: your zone, plant, and (where provided) location data is used to generate maintenance schedules and weather-aware timing recommendations.

We do not use the photos, messages, or other content you submit to train third-party AI foundation models. This content is used only to generate a response to your specific request.

AI-generated results — including plant identifications, health assessments, and chat responses — may not always be accurate and are not a substitute for advice from a professional arborist, landscaper, or agricultural extension service.

4. Google User Data

YardHQ uses Google OAuth to allow users to sign in with their Google account. When you sign in with Google, we receive the following information from Google:

Your name
Your email address
Your Google profile picture (if available)
A unique Google account identifier

We use this Google data solely to:

Create and authenticate your YardHQ account
Display your name within the app
Send account-related notifications to your email address

We do NOT:

Access your Google Drive, Gmail, Calendar, or any other Google services
Store your Google password
Share your Google data with third parties for advertising or marketing
Use your Google data to train AI models
Transfer your Google data to any party other than as necessary to operate the Service

YardHQ's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

5. Sharing of Information

We do not sell your personal information.

We may share your information only in the following limited circumstances:

Infrastructure & Hosting

Shared with cloud hosting and infrastructure providers solely to operate and deliver the Service.

Authentication

Google OAuth data (name, email, profile picture) is received from Google solely for account creation and login. We do not re-share this data with other third parties.

Payment Processing

Billing information is shared with Stripe, Google Play, or Apple solely to process your subscription. These providers have their own privacy policies.

AI Processing

Diagnostic photos, chat messages and conversation context (property, zone, plant, and care-history details), and other yard content may be sent to third-party AI/LLM service providers to generate identifications, diagnoses, and recommendations, as described in Section 3. Google account data is never sent to AI providers.

Analytics

Aggregated, anonymized usage data may be shared with analytics providers to improve the Service. No personally identifiable Google data is included.

Legal Requirements

We may disclose information to legal authorities when required by law, court order, or to protect the rights and safety of users or the public.

6. Data Retention & Deletion

We retain your information for as long as your account is active, or as necessary to:

provide the Service
comply with legal obligations
resolve disputes and enforce agreements
improve platform functionality

Google account data (name, email) is retained only while your account is active. Upon account deletion, this data is removed from our systems within 30 days, except where retention is required for legal compliance.

Diagnostic photos, chat conversations, and Yard Journal entries tied to your account are retained while your account is active and are deleted along with your account, as described below. Photos submitted for Plant Diagnostics without an account are processed to generate a result and are not retained as part of any saved profile.

How to Delete Your Data

• In-app: Go to your Profile → scroll to bottom → tap "Delete Account" to immediately remove all your data.
• By email: Send a request to support@yardhq.ai with subject "Account Deletion Request".

We will process deletion requests within 30 days. We may retain limited information where required for legal compliance, fraud prevention, or dispute resolution.

7. Data Storage & Protection

We implement reasonable administrative, technical, and organizational safeguards to protect your information, including:

Encryption of data in transit using HTTPS/TLS
Encrypted storage for sensitive account information
Access controls limiting data access to authorized personnel only
Secure, industry-standard cloud infrastructure
No storage of full payment card numbers on our servers

However, no method of electronic transmission or storage is completely secure, and we cannot guarantee absolute security. If you believe your account has been compromised, please contact support@yardhq.ai immediately.

8. Children's Privacy

The Service is not intended for children under 13 years of age.

We do not knowingly collect personal information from children under 13.

9. Third-Party Services

The Service may contain links or integrations with third-party services.

We are not responsible for the privacy practices or content of third-party services.
